Mill Hill Escapes

Privacy Policy

Mill Hill Escapes is the name we use for Cedar Cottage and Woodside Cottage, our privately owned homes.  Owner Frances Hardy is responsible for the personal information we collect. You can contact us at info@millhillescapes.co.uk or 3 Hillview Road, London NW7 1AJ.

When you enquire about or arrange a stay, we collect the contact details, stay requirements and correspondence details you provide, together with relevant agreement and payment records. We use these to respond to you, discuss your requirements, arrange and manage your stay, and maintain necessary business records. Without essential details, we may be unable to arrange a booking.

We use this information to take steps towards and fulfil an accommodation agreement, meet legal obligations, and support our legitimate interests in managing the properties and resolving enquiries or disputes.

Payments are made by bank transfer or through a provider such as Square or Stripe. We do not collect or store your full payment-card details ourselves. Card payments are handled by the provider under its own privacy notice.

We share information only where needed with service providers supporting our website, communications, payments or property management, with professional advisers, or where required by law. We do not sell your information or use enquiry and booking details for marketing.

Unsuccessful enquiries are normally deleted within 3 months after our last contact. We retain booking and financial records needed for tax purposes for five years after the relevant 31 January Self Assessment filing deadline, or longer where required by law or to resolve an outstanding tax enquiry or legal claim. We take reasonable steps to keep information secure and delete it when no longer needed.

Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your information, or object to certain uses. Please contact us with any request or concern. You may also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/.

We do not use cookies to track visitors, monitor browsing activity, or collect analytics. Our website does not use tracking or advertising cookies. Any cookies used are strictly necessary for the website to function correctly.
